How to Map Form Information to Trello Cards

Customizing how your form submissions appear on Trello makes it easier for your team to understand requests at a glance. By using variables, you can create dynamic card names and detailed descriptions that summarize form data automatically.

In this guide, we’ll show you how to map form fields to your Trello cards for a more organized workflow.

Step-by-Step Guide

1. Access Submit Actions

Start by selecting the form you want to edit. From the top navigation menu, click on Submit Actions. This is where you control what happens after a user hits the submit button.

2. Choose the Target Trello List

In the Submit Actions section, you can choose the specific Trello list where your cards will appear. This ensures new requests always land in the right place, such as "To Do" or "New Requests."

3. Customize the Card Name with Variables

To make your cards easy to identify, you can customize the Card Name. Instead of a static title, use variables to pull data directly from the form.

  • Example: Use a variable to include the requester's name or the subject of their request directly in the card title.

4. Create a Form Summary in the Description

You can also map specific form fields to the Card Description. By adding variables here, you create an automated form summary, ensuring all submitted information is neatly organized inside the card. Feel free to customize this layout to fit your team's needs.

5. Publish and Test

Once you have mapped your fields, click Publish to make the changes live. To test the setup:

  1. Fill in some sample info and submit the form.

  2. Go to the Trello board connected with your Service Desk.

  3. Open the card to review the information.
