How to Automate Email Replies for Form Submissions
Providing instant feedback to your requesters is key to a great user experience. With the "Send Message to Requester" automation, you can send fully customized, dynamic email replies the moment a form is submitted.
In this guide, we’ll show you how to set up instant email notifications to keep your communication seamless.
Step-by-Step Guide
1. Access the Automation Builder
Start by navigating to your form's edit page. From the top navigation menu, click on the Automation section and select "Create a New Rule."
2. Define Your Trigger (When)
In the "When" menu, pick the trigger that best fits your workflow.
Customization: You can explore different options to find the perfect trigger.
Optional: Feel free to define a Condition or Delay if you want the email to be sent only under certain rules or after a specific period.
3. Configure the Email Action (Then)
Under the "Then" menu, select the action you'd like to perform—in this case, choose "Send Message to Requester."
Subject Line: You can customize the Subject of the email to make it recognizable.
Dynamic Message: Write your message in the body section. You can use variables (like
{requester_name}or{ticket_id}) to keep your message dynamic and personalized for every user.
4. Publish and Test
Once your rule is ready, click Publish. It’s time to see it in action:
Fill out the form as a requester.
Submit the form.
Check your inbox to see the automated reply.
The Result
Open the email, and you’ll see your customized message delivered instantly. The best part? The requester can simply reply to this email to get back to you, keeping all communication tracked. It’s that easy!
