How to Automatically Assign Members to Trello Cards
Assigning the right team member to a new request shouldn't require manual work. By automating member assignments, you can ensure that the right person is notified and responsible as soon as a form is submitted.
In this guide, we’ll show you how to set up an automation rule to add or set members on your Trello cards automatically.
Step-by-Step Guide
1. Open the Automation Builder
First, navigate to the form's edit page. From the top menu, go to the Automation section and click on "Create a New Rule" to start building your workflow.
2. Choose Your Trigger (When)
In the "When" menu, pick the trigger that will start the automation (e.g., when a new form is submitted).
Optional: If you want to refine your workflow, you can define a Condition (to assign members only for specific types of requests) or a Delay if the assignment should happen later.
3. Define the Action (Then)
Under the "Then" menu, select the action you'd like to perform. Here, you have two powerful options for managing members:
Action | Description |
|---|---|
Add Member | Appends a new person to the card, keeping any existing members assigned. |
Set Member | Replaces everyone currently on the card with just the specific user you select. |
After choosing between Add or Set, simply select the member you want to assign from the provided list.
4. Publish and Test Your Workflow
Once your rule is configured, click Publish to put it into action. To verify everything is working:
Fill out the form as a requester.
Submit the form.
Head over to your Trello board to check the new card.
The Result
Open the card on your Trello board, and you will see that the member has been automatically assigned. It’s that easy!
Key Benefits of Automated Assignment
Faster Response Times: Team members are notified immediately when they are assigned to a new card.
Clear Accountability: Every incoming request has an owner from second one.
Reduced Manual Work: Eliminates the need for a manager to manually triage and assign every single card.
