How to Map Form Data to Trello Custom Fields

To keep your Trello cards organized and data-rich, you can automatically populate Custom Fields with information gathered from your forms. This ensures that specific data—like email addresses, dates, or choice selections—is visible at a glance on your Trello board.

In this guide, we’ll show you how to map form inputs to specific fields on your Trello cards.

Step-by-Step Guide

1. Access Submit Actions

First, navigate to your dashboard and select the form you want to edit. From the top navigation menu, click on Submit Actions.

2. Customize Card Fields

In the Submit Actions section, you can customize how the information from your form appears on the resulting Trello card.

  • You will see a list of standard fields that you can already update.

  • To add more data points, click on "Add other fields" and select the specific field you want to populate from the dropdown list.

3. Map Your Data

Now, it’s time to link your form inputs to your Trello fields. For example, you can map the data from the form's email input directly to the 'Email' custom field on the Trello card. This ensures the requester's contact info is always in the right place.

4. Publish and Test

To see the mapping in action, click Publish. Then, follow these steps to verify:

  1. Fill in some sample info and submit the form.

  2. Go to the Trello board connected with your service desk.

  3. Open the newly created card to review the information.

The Result

Upon opening the card, you’ll see that the custom fields have been successfully updated with the data provided in the form. Your Trello cards are now more informative and better organized!

Benefits of Field Mapping

  • Data Consistency: Information is always placed in the correct field, reducing manual entry errors.

  • Better Filtering: Use Trello’s power-ups or filters to sort cards based on specific Custom Field data.

  • Streamlined Workflow: All the information your team needs is visible the moment they open the card.
