How to forward Outlook emails to Trello

Forward Emails from Outlook to Hipporello to Create Trello Cards

By forwarding emails from your Outlook inbox to Hipporello, each message is automatically converted into a Trello card (ticket) on your board.

This setup is especially useful for teams handling requests through shared inboxes like support@, help@, or sales@. Instead of managing conversations across separate inboxes, every request becomes a ticket that your team can track and handle together in one place.

Once a ticket is created, your team can take many actions like assigning the ticket to a team member, replying to the customer directly from the card and tracking the request until it’s resolved. Because every forwarded email becomes a ticket, you can ensure that no request is missed.

How it works

After setup, the process runs automatically in the background.

  • Hipporello provides a unique inbound email address for your board

  • Outlook forwards incoming emails to that address

  • Each forwarded email becomes a ticket (card) in Trello

  • Your team manages and responds to requests from the ticket

This allows you to keep using email as your entry point while managing everything inside Trello.

Step 1 — Copy Your Hipporello Email Address

Before setting up forwarding in Outlook, you’ll need your Hipporello email address.

  1. Open your Trello board with Hipporello installed

  2. Click the Hipporello button

  3. Go to the Admin Panel

  4. Open Inbound Email settings

  5. Copy the email-to-board address

This is the address Outlook will forward emails to in order to create tickets.

Step 2 — Enable Email Forwarding in Outlook

Next, configure Outlook so it can forward emails to Hipporello.

  1. Open Outlook (web or Office 365)

  2. Click the Settings (⚙️) icon

  3. Select View all Outlook settings

  4. Go to Mail → Forwarding

  5. Turn on Enable forwarding

  6. Paste your Hipporello email address

  7. (Optional) Enable Keep a copy of forwarded messages

  8. Click Save.

This enables automatic forwarding for your inbox.

Step 3 — Create a Rule to Forward Specific Emails

To avoid forwarding every message, you can create a rule so that only relevant emails (such as support requests) are sent to Hipporello.

  1. In Outlook Settings, go to Mail → Rules

  2. Click Add new rule

  3. Give your rule a name (e.g. Forward support emails)

  4. Add conditions, such as:

  5. Under Actions, select Forward to

  6. Enter your Hipporello email address

  7. Click Save

Outlook rules allow you to automatically forward only selected emails based on conditions you define.

Step 4 — Tickets Are Created Automatically

Once everything is configured, the process becomes fully automatic.

When an email matches your rule:

  • A new Trello card (ticket) is created

  • The email subject becomes the card title

  • The email content becomes the description

  • Any attachments are added to the card

Your team can then immediately:

  • Assign the ticket

  • Add internal notes

  • Reply to the customer

All communication stays organized within the ticket, giving your team full visibility into each request.

Example Workflow in Forwarding Outlook Emails to Trello

Here’s how the process works in practice:

  • A customer emails support@company.com

  • Outlook automatically forwards the email to Hipporello

  • Hipporello creates a ticket in Trello

  • A team member reviews and assigns the ticket

  • They respond directly from the card

  • The customer receives the reply via email.

This creates a seamless flow from incoming email to tracked resolution.
